From Outlook meeting to reviewable legal documentation

Meeting automation is not a substitute for legal judgement. It can prepare a traceable draft so the solicitor's review focuses on the substance rather than recreating the record.

A meeting recorded, drafted, reviewed and turned into documents

Turning a meeting into documentation is a chain of context, capture, drafting, review and retention. In legal work, every link needs an owner because a fast draft is only useful when the responsible professional can check and approve it.

What the published project demonstrates

NFI's Legal Meeting Intelligence project for Catton and Tondelstrand Lawyers connects Outlook calendar context with scheduled meeting participants, and provides quick-start recording for unscheduled calls. Its published workflow uses speaker-aware transcription and drafts an internal file note and a professional client letter from the same transcript for solicitor review and approval.

The published case says the system preserves verbatim client language, extracts financial details and action items, and selects the relevant template automatically. It documents secure recording storage, retained transcripts and Word document output with legal templates. The reported results, including documentation time reduced from 30 to 60 minutes to minutes per meeting, apply to this client implementation and are not a promise for another firm.

Start with the record, not the document

For a proposed workflow, define what starts a recording, which meeting details are carried forward and how unscheduled conversations are identified. Calendar data can reduce repetitive entry, but it should be checked against the people actually present. The workflow needs a clear path for corrections before any draft is relied upon.

  1. 01Define the source record. Agree which calendar, recording and transcript fields are authoritative, who can amend them and how changes are recorded.
  2. 02Separate capture from interpretation. Keep the transcript and any extracted details distinguishable from generated narrative. This gives the reviewer a practical route back to the source when something needs checking.
  3. 03Make review an explicit stage. Route drafts to the responsible solicitor with the supporting record and a clear approval action. Do not treat document generation as finalisation.

Design templates around accountable review

A template should make the expected document structure visible without hiding uncertainty. Decide which sections can be pre-populated, which require a reviewer to complete or confirm, and what wording must be controlled. If the workflow extracts figures or action items, test how it handles ambiguity, conflicting statements and missing information.
