Legal Meeting Intelligence

"Every hour spent on administrative paperwork is an hour not spent advocating for our clients. We needed technology that understood the nuances of legal practice."
A family law practice faced a universal legal industry problem: the administrative burden of documenting every client interaction. After each meeting or phone call, solicitors spent significant time creating file notes and client correspondence - time that could be spent on billable legal work.
NFI built a comprehensive meeting intelligence platform: a recording system integrated with AI-powered document generation that transforms spoken conversations into professional legal documents automatically. The result: solicitors can now focus on practising law while the system handles documentation, generating compliant file notes and client letters within minutes of each interaction.
The Problem
For family law practitioners, meticulous documentation is not optional - it is a legal requirement. Every client conversation must be recorded in file notes, and clients expect written summaries of advice received. This creates significant administrative overhead.
Manual Documentation Burden. After each client meeting or phone call, solicitors faced 30 to 60 minutes of administrative work: transcribing key points from memory, drafting formal file notes with proper legal formatting, writing client letters summarising advice and next steps, and ensuring consistency between internal records and external correspondence.
Compliance Requirements. Family law matters require accurate records that may be reviewed by courts. Documentation must preserve exact client statements (including emotional context), clearly distinguish between legal advice and administrative discussions, accurately attribute statements to specific participants, and maintain proper temporal records of what was discussed and when.
Staff Time Allocation. Legal assistants spent considerable time on documentation tasks that, while necessary, did not require their legal training or expertise. This created bottlenecks and delayed client communications.
The Solution
NFI built an end-to-end meeting intelligence platform that records, transcribes, and automatically generates professional legal documents - all while preserving the nuances that matter in legal practice.
1. Intelligent Recording System. The platform integrates with the firm's existing workflow through calendar sync with Outlook (pre-populating participant information for scheduled meetings) and quick-start recording for unscheduled phone calls. Real-time audio visualisation provides feedback during recording, with pause and resume functionality for natural conversation flow.
2. Speaker-Aware Transcription. The system identifies and separates multiple speakers in conversation, labelling them based on context and a database of known firm staff. It distinguishes between solicitors, legal assistants, and clients - ensuring accurate attribution throughout documentation.
3. AI-Powered Document Generation. A sophisticated processing pipeline transforms raw recordings into professional legal documents. The AI cleans transcripts while preserving critical elements like verbatim client language and emotional expressions. It then extracts and organises all factual information - matter metadata, meeting overview, financial details, legal advice given, and action items - before generating two professional documents: an internal file note (chronological first-person narrative) and a client letter (professional correspondence summarising discussion and next steps).
4. Legal Practice Intelligence. The system understands the difference between substantive consultations (where legal advice is provided) and administrative calls (scheduling or information gathering). Different document templates are applied automatically based on the nature of the interaction, ensuring accurate representation of what occurred. The AI never misidentifies solicitors as clients and correctly attributes legal advice only to qualified solicitors.
Technical Highlights
Full-stack web application with calendar integration, cloud-based speech processing with speaker identification, AI-powered document generation, secure cloud storage, and professional Word document output with legal templates.

The Results
Dramatic Time Savings. What previously required 30 to 60 minutes of post-meeting documentation is now generated automatically within minutes. Solicitors review and approve rather than draft from scratch.
Significant Cost Savings. The platform delivers over $21,000 per month in documented cost savings, with return on investment achieved in under one month.
Improved Documentation Quality. AI-generated documents maintain consistent professional formatting while preserving critical details that might be forgotten in manual documentation: exact client quotes and emotional context, specific financial figures and dates, clear action item assignments, and proper distinction between advice and discussion.
Enhanced Compliance. Every client interaction is now comprehensively documented with audio recordings stored securely, raw and cleaned transcripts for reference, structured fact sheets for quick review, and professional documents ready for client communication.
Scalable Client Service. The platform enables the firm to handle higher meeting volumes without proportional administrative overhead increase. Legal assistants focus on higher-value tasks rather than documentation.
